By accessing or using TaxFin, you agree to be bound by these Terms. If you do not agree, do not use the Platform.
TaxFin is operated by FinSmart Holdings (Pty) Ltd (Reg. 2026/469983/07), a company incorporated in the Republic of South Africa. TaxFin helps individuals capture and organize tax-relevant records (receipts, mileage logs) year-round, and helps tax practitioners request documents from and review submissions by their connected clients.
You must be at least 18 years of age to use TaxFin. During the private testing phase, access is invite-only: an account is created either when a tax practitioner adds you, or when you connect to a practitioner using their share code. You are responsible for maintaining the confidentiality of your sign-in access and must notify us immediately of any suspected unauthorised use of your account.
TaxFin is currently provided free of charge during private testing. We may introduce fees for some or all features in future, and will give reasonable notice before any charge applies to your account.
You may use TaxFin solely for your own personal tax record-keeping, or, if you are a tax practitioner, for your own professional practice. You may not:
Any data you enter into TaxFin — receipts, receipt photos, mileage logs, and related information — remains your property. By submitting it, you grant FinSmart Holdings (Pty) Ltd a limited licence to store and process it solely to provide the service. We do not sell your data. Receipt photos are automatically resized and recompressed on upload to keep storage efficient; the original file you select is never stored as-is.
7.1 You control who has access to your data. You may connect with a tax practitioner either by accepting their invitation or by entering their share code, and you may disconnect at any time from your Home tab.
7.2 Disconnecting a practitioner removes their ongoing access to your account. It does not delete the documents or requests already exchanged, which remain visible to you as a record.
7.3 You may only be actively connected to one tax practitioner at a time. Connecting to a new practitioner automatically ends the connection to your previous one.
7.4 If you are a tax practitioner, any client data you can see through TaxFin is made available to you because that client connected with you. You remain responsible for how you use that data in your own practice, including obtaining any consent or engagement terms required by your profession.
8.1 TaxFin is a record-keeping and organisation tool. It does not calculate your tax liability, file returns on your behalf, or constitute tax, legal, or financial advice.
8.2 The "readiness score" and category suggestions shown in TaxFin are illustrative aids only, based on simple rules, and are not a substitute for advice from your tax practitioner.
8.3 Vendor-to-category matching when you add a receipt is an automated best-effort suggestion. You are responsible for reviewing and correcting the category before filing.
8.4 Where TaxFin connects you with a wealth advisor (currently via RN Financial Planning, an independent business — rnfinancialplanning.co.za), that advice is provided by them under their own licensing and terms, not by FinSmart Holdings (Pty) Ltd or TaxFin. We are not responsible for advice given by RN Financial Planning or any other third-party advisor.
9.1 TaxFin is hosted on Cloudflare's global infrastructure (Workers, D1 database, R2 object storage). Sign-in codes are sent via Resend. Each provider's own privacy practices govern their respective infrastructure layer.
9.2 We implement industry-standard security measures including hashed sessions, one-time sign-in codes, and HTTPS. No system is completely secure, and you use TaxFin at your own risk.
In respect of your own personal information, you are the data subject and, where you choose to share it with a tax practitioner, that practitioner is a responsible party under the Protection of Personal Information Act 4 of 2013 (POPIA) for their own professional use of your data. FinSmart Holdings (Pty) Ltd acts as an operator, processing data on the instructions of the account holder to provide the Platform. Tax practitioners using TaxFin must ensure they have a lawful basis and, where required, the necessary consent to process their clients' personal information.
All software, design, branding, and content is the intellectual property of FinSmart Holdings (Pty) Ltd or its licensors. Nothing in these Terms grants you any rights beyond the right to use TaxFin as set out herein.
12.1 To the maximum extent permitted by law, FinSmart Holdings (Pty) Ltd and its directors, employees, and agents shall not be liable for any indirect, special, incidental, or consequential damages arising from your use of TaxFin.
12.2 As TaxFin is currently provided free of charge, our total liability for any claim is limited to R0 (zero Rand), to the maximum extent permitted by law.
You may stop using TaxFin at any time. We may suspend or terminate access for breach of these Terms, or, during the private testing phase, at our discretion with reasonable notice where practical.
Your use of TaxFin is also governed by our Privacy Policy, incorporated into these Terms by reference.
These Terms are governed by the laws of the Republic of South Africa. Disputes are subject to the exclusive jurisdiction of the South African courts.
We may amend these Terms at any time, particularly during this private testing phase. Material changes will be communicated where reasonably practical. Continued use after a change constitutes acceptance.
